If we do so, we will select a provider that meets our security management requirements.

Appropriate protection of personal information and the responsible manager

Our company and its group companies have appointed the person below as the manager responsible for the protection of personal information. We manage your personal information appropriately and securely and take protective measures to prevent its leakage, loss or damage. Purposes of use of personal information and related information

We use personal information obtained from individuals within the scope of the following purposes.

1. Our customers and individual customers

  • Providing information on employment opportunities, conducting recruitment screening and responding to inquiries
  • Exercising rights and fulfilling obligations under the Commercial Code, and managing shareholders in accordance with laws and regulations

Nursery school users and their families: to ensure the smooth operation of the nursery school

  • Names and addresses of guardians and children, household circumstances, places of employment, and emergency contact details of relatives and others provided in connection with enrollment applications
  • Children’s feeding and meals, including ingredients and allergies; administration of medication; vaccination history; and histories of illness, disability, accidents and similar matters
  • Health examination records at the time of enrollment
  • Names of illnesses and injuries, symptoms, treatment details, medical histories and similar information from regular health and dental examinations
  • Provision of information to medical institutions, police stations, public prosecutors’ offices, fire stations and other parties stipulated by law

If we intend to use personal information for purposes other than those listed above, we will specify the purpose in advance and obtain the individual’s consent.

Provision of personal information to third parties

We will not provide personal information to third parties except in the following cases.

  1. When we have specified or notified the individual of the necessary matters in advance and obtained their consent
  2. When we provide a bank with a name, account number, salary amount and similar information to transfer salary payments
  3. When we provide tax offices, municipal offices, accounting firms and similar bodies with a name, address, date of birth, salary amount and similar information to report salary and other payments
  4. When we provide social insurance offices, health insurance associations, employees’ pension funds, public employment security offices and similar bodies with a name, address, date of birth, salary amount and similar information for social insurance procedures
  5. When required or permitted by laws and regulations
  6. When necessary to protect a person’s life, physical safety or property and it is difficult to obtain the individual’s consent
  7. When particularly necessary to improve public health or promote the sound development of children and it is difficult to obtain the individual’s consent
  8. When necessary to cooperate with a national government agency, local public authority or a party entrusted by either in performing duties prescribed by law, and obtaining the individual’s consent could hinder the performance of those duties
  9. When a business is succeeded to through a merger or other circumstances and the personal information is handled within the scope of the purposes of use that applied before the succession

Outsourcing the handling of personal information

We may outsource the handling of personal information, including data processing, to designated external service providers. We select these providers in accordance with our management rules, conclude appropriate confidentiality agreements with them, and manage and supervise them appropriately.

Measures taken to ensure the security of personal information

To handle personal information more rigorously, we have established personal information protection rules and related regulations based on a privacy policy that conforms to JIS Q 15001. We operate a personal information protection management system with an understanding of the external environment. In handling personal information, we implement security measures from four perspectives: organizational, personnel, physical and technical.

1. Organizational security measures
  • We have appointed a personal information protection manager responsible for the handling of personal data, clarified the scope of personal data handled by officers and employees, and established a reporting and communication system for notifying the manager when facts or signs of violations of laws or internal rules are identified.
  • We conduct regular internal audits of the handling of personal data.
2. Personnel security measures
  • We provide officers and employees with regular training on precautions in handling personal data, including sharing trends and points requiring attention identified in internal incident reports, and procedures for responding to incidents.
  • We obtain written confidentiality undertakings concerning personal data from officers and employees.
3. Physical security measures
  • We take appropriate measures in areas where information systems are managed, including installing entry and exit control systems.
  • We take appropriate measures to prevent the theft or loss of equipment, electronic media, documents and other items used to handle personal data.
  • When transporting electronic media or documents containing personal data, we take security measures to ensure that the data cannot be readily discerned.
  • When deleting personal data or disposing of equipment or electronic media containing personal data, we use methods that prevent recovery.
4. Technical security measures
  • We implement appropriate access controls to limit the personnel involved and the scope of personal information databases and similar resources they handle.
  • We use user IDs, passwords and similar means to authenticate that officers and employees using information systems have legitimate access rights.
  • We have introduced and appropriately operate mechanisms to protect information systems handling personal data from unauthorized external access and malicious software.
  • We implement and appropriately operate measures to prevent leakage of personal data and similar incidents arising from the use of information systems.

Procedures for requests concerning retained personal data or records of provision to third parties

We accept requests only through our prescribed disclosure request form. Please follow the procedure below.

2. Complete the required information on the personal information disclosure request form referred to in step 1.

Documents verifying your identity are required when submitting a request. If a representative submits the request, follow the instructions on the form.
“Disclosure and related actions” means notification of the purpose of use; disclosure; correction, addition or deletion of content; suspension of use; erasure; suspension of provision to third parties; and disclosure of records of provision to third parties.

3. Send the documents referred to in step 2 to the following address by simplified registered mail or registered mail with proof of delivery.

4. After verifying your identity, unless otherwise specified, we will respond at a later date using the form designated by our head office, sent by registered mail with proof of delivery.

Please note that we may refuse a request in the following cases.

  • When it could harm the life, physical safety, property or other rights and interests of the individual or a third party
  • When it could significantly hinder the proper conduct of our business
  • When it would violate laws or regulations
  • When our prescribed request procedures are not followed

Joint use of personal information

We do not jointly use personal information entrusted to us by individuals.

Voluntary provision of personal information and consequences of not providing it

Providing the personal information collected is voluntary. However, if necessary personal information is not provided, inconveniences may arise, such as our being unable to accommodate your application or respond to your inquiry.
When you contact us by telephone or similar means, we may record audio information and calls to enable us to respond accurately to your inquiry.
